Responsible For Providing secretarial support to the DLC staff

- Essential Functions
- Ability to type
- Ability to operate office equipment
- The ability to answer the phone and
record messages accurately
- Demonstrated ability to respond to
telephone inquires and record (document) the call accurately.
- Effective communication skills
sufficient to communicate with callers regarding factual
situations and provide responsive information.
- Duties
- Answering the telephone, taking
messages and greeting visitors
- Making telephone contacts as required
- Typing letters, memos, and related
materials as assigned
- Composing routine letters and memos
utilizing instructions or guidelines of staff
- Assisting Office Manager in developing
and maintaining filing systems for correspondence and other
materials as requested.
- Dating, sorting, and distributing
incoming mail
- Preparing envelopes and packages for
all outgoing mail
- Photocopying, collating, filing and
preparing mass mailings and all court and hearing documents
- Operating word processing and standard
office equipment as requested.
- Input client demographics and other
case information into the case management database
- Maintains agency mailing lists and
other data bases
- Organizes and maintains information
and referral resources and other training materials
- Working directly in conjunction with
Office Manager and performing related duties as assigned

- Qualifications
- Associates degree in related field or
equivalent, and minimally one year of combined receptionist,
secretarial or related experience.
- Must type at least 50-60 wpm.
- Ability to adapt and learn to use new
office equipment and procedures.
- Demonstrates basic knowledge of
Microsoft Office and computer equipment usage
- Ability to maintain a general
correspondence file for all correspondence typed
- Ability to proofread written
documents, identifying typos and grammatical errors
