Responsible For                     Providing secretarial support to the DLC staff
 
Essential Functions
  1. Ability to type
  2. Ability to operate office equipment
  3. The ability to answer the phone and record messages accurately
  4. Demonstrated ability to respond to telephone inquires and record (document) the call accurately.
  5. Effective communication skills sufficient to communicate with callers regarding factual situations and provide responsive information.
Duties
  1. Answering the telephone, taking messages and greeting visitors
  2. Making telephone contacts as required
  3. Typing letters, memos, and related materials as assigned
  4. Composing routine letters and memos utilizing instructions or guidelines of staff
  5. Assisting Office Manager in developing and maintaining filing systems for correspondence and other materials as requested.
  6. Dating, sorting, and distributing incoming mail
  7. Preparing envelopes and packages for all outgoing mail
  8. Photocopying, collating, filing and preparing mass mailings and all court and hearing documents
  9. Operating word processing and standard office equipment as requested.
  10. Input client demographics and other case information into the case management database
  11. Maintains agency mailing lists and other data bases
  12. Organizes and maintains information and referral resources and other training materials
  13. Working directly in conjunction with Office Manager and performing related duties as assigned
 
Qualifications
  1. Associates degree in related field or equivalent, and minimally one year of combined receptionist, secretarial or related experience.
  2. Must type at least 50-60 wpm.
  3. Ability to adapt and learn to use new office equipment and procedures.
  4. Demonstrates basic knowledge of Microsoft Office and computer equipment usage
  5. Ability to maintain a general correspondence file for all correspondence typed
  6. Ability to proofread written documents, identifying typos and grammatical errors
